A CRM workflow organizes the work your team needs to do. A lead follow-up sequence organizes communication with a prospect and the point where a person takes over. Products can support both, so the useful comparison is the actual process rather than the label.

A workflow can be a sequence of assigned tasks
Wealthbox describes workflows that turn prospecting, onboarding, and recurring reviews into dated, assigned tasks. Its financial-advisor platform also includes contact records, email synchronization, opportunities, and integrations. Redtail documents workflow templates with steps, tasks, outcomes, and automation triggers.
These are substantial capabilities. If your immediate problem is assigning an account-opening checklist or making sure a review happens, a CRM workflow may be exactly what you need. Calling a task workflow “not automated” would miss its purpose.
A communication sequence has different decisions to make
For a guide download, the team may need to send the requested material, wait, follow up by an authorized channel, and pause for an advisor call. Someone must decide the message, sender, destination, timing, permission, and response behavior for every step.

A website connection must send the submission into the correct funnel; the existing website does not become connected merely because it already has a form.
Map the boundary before buying another tool
Draw the process from the moment a person submits a form to the moment your team records the next step after a conversation. Name the owner and system at each point. If you use more than one system, confirm the real connection and failure behavior; do not assume a native integration exists.
Be especially clear about which system owns permission to communicate and the next scheduled action. Duplicate enrollment or unclear ownership can create confusing outreach even when each individual tool is working as configured.

Choose recordkeeping deliberately
