Start with the form you already use

A useful follow-up starts with context: which form the person completed, what they requested, and which channels they agreed to use. Baton accepts website submissions through a server-to-server funnel connection. Your website integration supplies the submission and available attribution; simply adding a public link does not connect a form.

Plan the journey around the request. A guide download might receive an email with the requested material, a later follow-up, and a call task. Collecting a phone number by itself does not establish permission to send text messages.

Make the human handoff an explicit step

An automation is useful only if someone knows what to do when it reaches a person. Baton funnels include email, SMS, wait, and handoff steps. The handoff pauses the sequence and gives the advisor a call task, with the prospect’s messages and provider outcomes available in the profile.

Design the call around what the person asked for. Decide who owns the task, what happens after the conversation, and when automated follow-up should resume. A message opening or a link click can come from a privacy tool or security scanner; it does not prove that someone is ready to talk.

Keep the communication and its evidence together

Every Baton Runner workspace keeps an append-only communication history and provider outcomes. Optional managed archiving adds protected copies in a dedicated firm archive, a secondary compliance-inbox copy, integrity checks, and retained-record exports. Its configured retention has a six-year minimum. New protected copies use S3 Object Lock in Governance mode: ordinary application credentials cannot delete them or shorten retention, but a separately authorized administrator can override that protection. This is not an unbypassable retention guarantee or a promise that software alone satisfies a firm’s obligations.

The useful question in a demo is concrete: can your team retrieve the exact message, sender, destination, consent evidence, and subsequent outcome for one prospect? Ask to see a failed delivery and an opt-out as well as a successful send.

When another tool fits better

A broad financial CRM may be a better starting point if your main problem is household relationships, investment-system integrations, recurring service tasks, or practice management. Baton focuses on the journey from an inquiry to follow-up and a human conversation. It should be evaluated against that job, not assumed to replace every system your firm already uses.
